Quick Start Guide

From a field issue to a signed change order in nine steps.

1

Create a project

Go to Dashboard and click New Project. Enter the project name, client, contract value, and start date. One project per job site or contract.

2

Capture a field issue

Open the project, then click New Change Order. Select the reason for the change — for example, Unforeseen Condition or Client Request.

3

Add photos, voice notes, and plans

Tap the upload zone to attach job-site photos (JPEG, PNG, HEIC, PDF up to 25 MB). Use the Voice Note button to record a spoken description — AI transcribes it automatically.

4

Generate the AI summary

Click Generate AI Summary. The AI reads your photos, voice note, and description to draft a professional scope summary and estimate labor hours.

5

Review and confirm costs

On the Review screen, check the AI labor estimate and enter your material and equipment costs. Overhead, profit, and totals update in real time. Adjust anything that looks off.

6

Generate the change order

Click Go to Change Order (or Save as Draft to return later). A numbered change order is created with all costs, schedule impact, and supporting evidence attached.

7

Send for client approval

On the Change Order page, click Send for Approval and enter the client's email. They receive a link to review the order and either approve or dispute it — no login required.

8

Track status

The change order status updates automatically — Draft, Pending, Approved, or Disputed. The Dashboard shows all pending approvals and disputed items across every project.

9

Export the record

Once approved, use the Export PDF button on the Change Order page to download a signed, dated PDF record for your files and accounting.

FAQ

Common Questions

What does the AI actually do?

The AI reads your description, voice transcript, and any attached photos to write a professional scope summary and suggest a labor hour estimate. It does not set final costs — you review and confirm every number before the change order is created.

Can I edit the AI's summary or cost estimate?

Yes. On the Review step, every field is editable. The AI estimate is a starting point. Change labor hours, add materials, adjust overhead and profit — the totals update instantly.

Does the client need an account to approve?

No. Clients receive a secure link by email and can approve or dispute the change order directly from their browser without creating a ScopeSnap account.

What happens when a client disputes a change?

The change order status changes to Disputed and you receive an email alert. Open the change order, review the client's reason, and follow up directly. You can revise and re-send if needed.

What file types can I attach?

JPEG, PNG, WebP, HEIC, BMP, TIFF, and PDF. Each file can be up to 25 MB. HEIC files (iPhone photos) upload correctly but won't show a preview in the browser — the file is stored intact.

Can I save a change order and finish it later?

Yes. On the Capture step the form auto-saves to your browser as you type. On the Review step, click Save as Draft and the change order is saved to your project with a Draft status.

What happens after my trial or subscription ends?

Your projects and change orders are preserved in read-only mode, and you can download a JSON data export. Start or restore a paid plan to create, edit, send, approve, upload, transcribe, print, or export PDFs.

How do I invite a team member?

Team management is available in Settings. Invited members join your organization and can create and edit change orders on any project you share with them.
